We have a client who was sending hundreds of emails per day. Appointment follow-ups, invoices, purchase orders, etc. At 5 minutes per email, that’s at least 8 hours each day wasted across their team!
They now spend less than 15 minutes per day in total – the software we built for them does most of the legwork.
At every point of their process, they have a big shiny EMAIL button that does the following:
- Figures out who the email needs to go to.
- Writes the content, including all of the dynamic bits (such as their name and the next steps, which could vary).
- Generates any documents (such as an Invoice or Purchase Order PDF) dynamically and attaches them.
- Sends the email on behalf of the user and keeps it saved for future reference.
Of course, not all emails can or should be automated. Their #1 focus is great customer service – we haven’t taken that away from them.
We’ve simply automated the boring administrative stuff, so they can spend more time on providing great customer service.
